1. Who we are

CYL Chartered Accountants (Pty) Ltd ("CYL", "we", "us") is a CA(SA)-led accounting and advisory firm based in Durban, South Africa. This policy explains how we collect, use, store and protect personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA).

2. Information we collect

  • Contact details you give us through our contact form, tax readiness quiz, email or telephone (name, email address, phone number, company name).
  • Engagement information needed to deliver accounting, tax, audit and advisory services to you once you become a client (financial records, tax numbers, statutory information).
  • Technical information generated when you browse this website (IP address, browser type, pages visited) — see our Cookie Notice.

3. How and why we use it

  • To respond to your enquiry and provide the services you request.
  • To meet our legal and regulatory obligations (including under the Tax Administration Act, Companies Act and anti-money-laundering legislation).
  • To send you information you have asked for, such as tax updates or our newsletter — you can opt out at any time.
  • To operate, secure and improve this website.

We process personal information only where POPIA allows it: with your consent, to conclude or perform under a contract with you, to comply with the law, or to pursue our legitimate interests without unjustifiably affecting your privacy.

4. Sharing

We never sell your personal information. We share it only with service providers who help us run our practice and this website (for example secure hosting and IT providers, bound by confidentiality), with regulators or authorities where the law requires it, and with your consent in all other cases.

5. Security and retention

We apply reasonable technical and organisational safeguards to protect personal information against loss, damage and unauthorised access. We keep personal information only as long as needed for the purposes above, or as long as the law requires us to keep records (professional and tax legislation often prescribes minimum retention periods), after which it is securely deleted or anonymised.

6. Your rights

  • Ask what personal information we hold about you and request access to it (see our PAIA Manual).
  • Ask us to correct or delete personal information that is inaccurate, out of date or no longer necessary.
  • Object to processing, or withdraw consent you previously gave.
  • Lodge a complaint with the Information Regulator (South Africa): inforegulator.org.za.

To exercise any of these rights, contact our Information Officer using the details above.

7. Changes to this policy

We may update this policy from time to time. The latest version will always be published on this page with its "last updated" date.
